To Bcc or not to Bcc that is the Answer

Hello Friends, I have a real pet peeve to share with you and it’s not because I don’t love and appreciate all of your attention, but this thing has got to stop. What I am talking about my friends is when someone who has me on their email list, sends me an email and forgets to use Bcc or Blind Carbon Copy. What some don’t realize is when you don’t use the Bcc and use ‘To:’ or even ‘Cc:’ you are giving away your whole email list. What you are also doing is allowing those who should not have my email address the chance to sell it or worse send me unsolicited email or SPAM.

This has been happening too many times for me to mention, so I thought I would write about it on my website and try and stop some of the madness. When it comes to email blasts that are targeted to your personal and in some cases confidential email list, you should ALWAYS and I mean ALWAYS use Bcc: Blind Carbon Copy when you’re using any email program like Microsoft Outlook. Almost all email programs have this option. Web based emails like Yahoo and Hotmail even have this feature so there is really no excuse to send these blasts without using this option. Here is a step-by-step way to make a BCC (Blind Carbon Copy) line in Microsoft Outlook for Windows 2000.

Step 1

At the top of the menu bar. Click on ‘New’ and create a ‘New Message’.

Step 2

With a new message open click on the ‘View’ button at the top of the menu bar.

Step 3

The view will have a drop down menu showing the ‘BCC’ field. Click on that selection.

Step 4

The BCC field should now appear on your new message.

All you have to do now is fill in the Bcc line with all the emails you would have put in the ‘To:’ or ‘Cc’ line separating them with a semicolon. One last thing is to remember to put your email address in the ‘To:’ line. That way you can test and see how all the email addresses will not show up for anyone to see, therefore keeping your email list private. Well that’s all for now. Hope you learned something today. Definition of a ‘Lead’

You see headlines all the time about ‘Hot leads’ ‘Fresh Leads’, etc. With this kind of lingo in place, one is likely to get the idea that a ‘lead’ is some sort of baked good.

I’m being silly of course. I’m sure you have some idea of what this term refers to.

A ‘lead’ is an individual who has expressed some initial interest in your product, service, or opportunity. Typically, this interest is displayed in the form of a request for more information; i.e. filling out an opt-in form to receive a more detailed explanation of what you can offer via email.

Acquiring new leads on a daily basis should be your top priority. Instead of spending your time and energy trying to make a sale on the front end, put your efforts into bringing new prospects onto your contact list so you can promote your offer to them on a more personal level.

But I really want to focus this article on how you should be collecting these new leads. So I’ll get right to the point; capture a prospect’s interest by yourself instead of purchasing so-called ‘leads’ through a third party provider.

The best prospects are always people who see your offer and make a conscious decision to ask for more information.

Consider this analogy:

Let’s say I stroll into the local video store and strike up a friendly convo with that cute young lady behind the counter. She’d recognize me, because I’m in there renting a new video game at least a couple of times per month. In fact, I’ve even pulled a laugh or two out of her with a few (well rehearsed) jokes. During the course of our chatter, let’s say I ask if she’d like to catch a live band with me over the weekend (unlikely I’ll ever acquire the nerve for this but it’s certainly a nice thought).

Just for the sake of example, let’s assume she says: “Hey that sounds cool. Give me a call on Thursday and I can tell you for sure if I’m free.”

In the above scenario, I have just acquired a (hot!) lead.

To put this into perspective, let’s look at it from another angle:

I could just as easily pay another employee of the video store to give me the phone number of the young lady mentioned above. Then, armed with her contact information, I could call her at home, completely out of any relevant context, and pitch my offer of a good band and a meal on the side.

Mind you, the band in question is a local favorite. And the club where they will be playing can deliver one of the best hamburgers money can buy.

But despite the quality of my offer, how is my target prospect likely to respond? It’s safe to assume I would be in need of a new video store, as I would most likely be viewed as some type of stalker form this point forward.

Can you see what I’m getting at here? If someone who’s email address you have purchased suddenly gets a message from you, and has no bloody idea who you are, I can almost guarantee they’re not going to respond in a favorable manner.

Purchased mailing lists work great for big spending companies who can lay out thousands of dollars on this type of campaign. But for the average network marketer who is building a business on a far more modest budget, it simply is not cost-effective to try and play the numbers game with purchased leads.

Focus on giving people a good reason to ask you for more information. Once this request is made, over-deliver on the quality and value of information that you provide, and start building a real relationship with your new lead.

This business is personal. So don’t get sucked into some scam that promises to build your prospect list by selling you the contact info of people who have never met you, and probably don’t want to hear from you.

Beating the Blockers

1. Avoid signs of spam. There are specific characteristics that trigger spam filters. You can increase your deliverability by avoiding certain pitfalls in your subject lines:

• Don’t use all caps.
• Don’t use HTML messages that are primarily graphics.
• Don’t try to trick filters by replacing letters with asterisks or breaking words up with punctuation marks. Filters are getting smarter, and you could end up on a black list.
• Don’t use sloppy HTML.
• Don’t use large or small fonts. Stick with H1, H2, or H3 heading tags.

2. Consider sender certification

Legitimate businesses can go through these companies to get safe passage past spam filters. There’s a cost for this service, but it’s an effective way to ensure your emails are getting delivered.

• What precautions do they take to prevent spammers from enrolling? A good host company will have measures in place, such as confirmed opt-in, to make sure that they’re not allowing spammers to join.

• Do they offer conversion tracking? Similar to an ad tracking program, many hosted servers now let you see how many of your e-mail recipients clicked through to your site, how many click-throughs resulted in sales, and how much money you made from your campaign.

• What kind of customer service do they provide? You can often tell the answer to that question simply by how long it takes them to respond to your inquiries. Ask if they offer full phone support and if they charge extra for the service.

However you choose to promote your business, don’t overlook the power of email marketing to increase your customer base and improve your sales volume.

People Accusing You of Sending Sp-am? Tips Email Marketers Must Know

People tend to forget their subscriptions. Sometimes they don’t even know why they subscribed to your newsletter. Especially if the person is seeking for information, he/she will subscribe to every ezine or ecourse that will come across their search. They don’t remember it after a while. 1. Provide Personal Details in Every Email :

You only get the subscriber’s IP when he/she subscribes using a form. If they subscribed using email addresses, the IP will not be grabbed by your autoresponder software.

2. Use Double Opt-in :

Some of the marketers say, “You have to make it easy for the subscriber to receive your emails.” So people tend to neglect to implement double opt-in. They think that it will be a hassle for subscribers to click on the confirmation link in the email. Remember one thing… if they are really interested they will click. A double opt-in list is better for targeting your information and gaining profits.

3. Include an Unsubscribe Link :

Put an unsubscribe link in every email in the footer area. Sometimes people subscribe using subscriberATdomain.com which then redirects his email to subscriberATdomain2.com. Then he tries to unsubscribe using the second email, which obviously is not in your database, and he can’t be removed by your software. Then he/she will get upset that you are sending spam. So tell them that they must use the same email address that they used to subscribe when unsubscribing. You can put this information under your unsubscribe link.

4. Use a Privacy Statement :

Create a tag in your autoresponder like [privacy_statement], if your software allows it. Then put this tag in all emails below the unsubscribe link. This privacy statement should be similar to what you put on the subscription form web page. If your autoresponder software doesn’t allow tags, then put the URL to your privacy statement on your web page.

5. Consider Authentication Seals :

Recently I came across these sites that provide email marketers a special code that goes in the headers of your email(s), making them legitimate.

6. Remove Subscribers that Are Unsubscribed :

So when sending email, make sure that you delete unsubscribers or list them separately in your system.”

7. Provide Your physical address :

Put your physical address in every email. In the body of the email message, you must include your name, company name (if sent on behalf of a company), physical address and return email address. This email address you should be checking regularly.

8. Don’t send email to customers of Your affiliate products :

One question frequently asked by webmasters: I am an affiliate of these product and I made few sales. Can I send emails to them? ANSWER : Simply no. First, the customer is not your customer. He is your affiliate product owner’s customer. Second, he didn’t opt to receive your email. SOLUTION : If you want to send email to him, put a form on your website and ask him to sign up for your list.

Emails are quite a powerful marketing tool, if not misused. Misusing electronic mail is an actual trend. It happens to us all on a daily basis. You’ve received them: the very inviting email that suggests to visit a certain website where a wonderful Russian lady awaits to become the perfect bride, or to read news from a Nigerian magnate that wants to give us a few million dollars, etc…

These are really annoying Spam emails, but these are not the only emails that are Spam. Even legitimate companies perform a type of less insistent Spam to sell their products. As a matter of fact they do not really Spam, but send unsolicited commercial emails. Because people don’t really know the definition of Spam (unsolicited bulk email) they tend to treat this type of Internet marketing approach aggressively and lose trust and respect for the companies practicing it.

If you are serious about Internet marketing you cannot use emails to spam people trying to make a sale. You should use emails to communicate with your clients and business partners. Writing a business email is not as easy as it may seem. When you send out a business email you send a message that represents your company. If the email is not properly written the clients will doubt your professionalism. It doesn’t matter what business you are in. Sending a properly formatted email shows respect for the receiver. Just consider emails your online stationery. Treat an email as you treat that perfectly designed piece of paper you use to write business letters on.

When you compose an email you notice that there is a subject line. Don’t ignore it. That’s the most important part of your message: type in a short summary of your message. This is how the reader will know how urgent or interesting your message is. For example, if you write a message as a follow-up for a phone conversation, write that in the title. It will remind your client or business partner that he or she was expecting a message from you. Don’t assume that people will just remember who you are and what you do. Unless you already have a long-term partnership, understand that they are busy too, and don’t waste their time.

When you format your email, keep in mind that plain text is still the best email format. Some people disable html. If you are a huge fan of HTML, send your email as plain text and HTML, allowing your readers to make the choice. Keep your lines and your message short and clear. Don’t “stuff” your message with words. Remember to respect your client’s time: get to the point. Use line breaks to separate paragraphs and ideas. The reader should be able to follow your message easily.

Last but not least, don’t forget your email signature and the disclaimer. The email signature is a very good promotion tool. Business signatures start with a brief, serious courtesy, followed by your name, your function, a brief description of your website or business (that will act like a sales pitch) and a link to your site. Don’t forget the http:// in your link, as many email programs fail to identify www.yoursite.com as a link, forcing the readers to copy-paste it in their browsers instead of conveniently clicking on it to see your site.

The disclaimer is also very important, especially when you send attachments, for example: “Although reasonable precautions have been taken to ensure no viruses are present in this email, (your company) cannot accept responsibility for any loss or damage arising from the use of this email or attachments.”

Remember: any document you send out of your company, whether in electronic format or paper, needs to respect your corporate identity standards. As an online entrepreneur, you’ll be sending emails every day. So build up a strong business identity and BOOST YOUR BUSINESS by sending out professional emails.
